What counts as an 'active client'?+
An active client is any client with at least one appointment or billable service in the current billing month. Clients who are on hold, discharged, or have no activity that month are not counted — you only pay for clients you are actively seeing.
Which features are optional add-ons, and what do they cost?+
All 150+ core features — scheduling, billing, documentation, telehealth, payroll, and reporting — are included in the $99/month base fee plus $8 per active client. Six optional add-ons are priced individually: Fax ($10/month), SMS ($0.05 per message), clearinghouse integration ($50/month), AI summarizer ($15 per 1,000 actions), Sandata EVV ($50 one-time setup), and the mobile app ($4 per staff member/month). You only pay for the add-ons you enable.
Is data migration included in the price?+
Yes. We migrate your existing patient data, scheduling history, and clinical notes from your previous system at no charge — and onboarding and staff training are free as well.
How does billing work — monthly or annually?+
TherapyPM bills month-to-month with no annual commitment required. Your invoice is generated at the start of each billing cycle based on your $99 base fee plus $8 for each active client. Annual plans with a discount are available on request — contact our team for details.
What happens if my active client count changes mid-month?+
Your active client count is calculated at the time of billing based on the previous month's activity. New clients added mid-month appear on your next bill; clients who become inactive are removed from the subsequent count. You never pay for clients you aren't seeing.
Is there a cancellation fee or long-term contract?+
No lock-in, no cancellation fees. TherapyPM is month-to-month. You can cancel at any time from your account settings with no penalties or hidden exit charges.
Can I try TherapyPM before committing?+
Yes — every new practice starts with a 14-day free trial. No credit card required, and you get full access to all 150+ features from day one. Our onboarding team will help you get set up at no additional cost.
